Users, roles and administration

Administrators look after accounts, access and the licence. This page is for them.

Role What they can do
User Chat, use workspaces they have access to, create files, create their own API keys
Administrator Everything a user can, plus manage users, internet access, shared workspaces and the licence
Server administrator One fixed administrator account, set during installation, with a few extra powers such as archiving accounts

Roles can’t be changed in the web app. Your server team sets who is an administrator.

  • One at a time from the Users page, or
  • Import a CSV file of up to 5,000 rows (1 MB).

Each person gets a one-time setup link, valid for 48 hours by default. They open it and set their own password. If someone loses access, reset them to send a fresh link.

  • Suspend: the person can’t sign in and their API keys stop working. Nothing is deleted.
  • Archive: for people who have left. Only the server administrator can archive.
  • Reactivate: brings a suspended or archived account back.

Suspending and archiving need a reason, which is kept. Administrators can’t suspend or archive other administrators.

On the Users page, switch Internet access off for anyone. After you confirm, ZenithAI makes no web searches and opens no web pages for that person, and stops any web jobs they have running. See Web search and internet.

The server administrator can create organisations and add people as members. Members with the Organization Workspace Manager role create shared workspaces and decide who can use them. See Workspaces.

  • Every account change by an administrator is recorded. If the record can’t be written, the change is refused, so nothing happens off the record.
  • Administrators can open a user’s chat log when needed. Every view is recorded too.
  • Each person can see their own daily usage.

Common questions

How do I add many users to ZenithAI at once?

Import a CSV file from the admin Users page. One file can hold up to 5,000 rows and be up to 1 MB. Each new person then gets a one-time setup link to set their password.

Can an administrator read users' chats?

Yes. An administrator can open a user's chat log when needed, for example for an investigation. Every such view is recorded in the audit log, so it is never secret. Tell your staff about this in your usage policy.

What happens when I suspend a user?

The person can no longer sign in, and their API keys stop working. Nothing is deleted. You can reactivate the account later. Suspending or archiving needs a reason, which is kept for the record.
