Workspaces, ask about your documents

A workspace is your team’s almirah (cupboard) of documents: policies, product manuals, circulars, past reports. Put them in once, then ask questions in chat any time. ZenithAI answers from those documents and tells you which ones it used.

  1. Go to Settings › Workspaces and click New workspace.
  2. Give it a name (up to 60 characters), such as HR policies 2026. You can add instructions too, for example answer for branch staff, in simple words.
  3. Click Create workspace.

You can have up to 20 personal workspaces.

Open the workspace’s Knowledge screen and use Add documents, or drag files in. Then click Save documents.

Old Office files (.doc, .xls, .ppt) need to be saved in the new format first. A file that can’t be read is rejected straight away. The rest are prepared in the background, and each one is used for answers as soon as it is ready.

  1. Start a new chat.
  2. In the message box, pick the Workspace. Under Ask within, keep Whole workspace or choose one document.
  3. Ask, for example: “How many casual leaves does a new joiner get in the first year?”

The chat’s top bar shows which workspace it uses. A chat stays with the workspace it started with; to use another one, start a new chat.

Answers that used your documents end with Workspace documents used, listing the document names.

  • Personal workspaces are private to you.
  • An administrator can share a workspace with the whole organisation. Everyone can then use it in chat, but only the owner and administrators can change it.
  • Organisation workspaces are run by people with the Organization Workspace Manager role. They choose who can use each one, everyone in the organisation or only selected people, add the documents, and can see the activity log.

Which files can I add to a ZenithAI workspace?

PDF, Word (DOCX), Excel (XLSX), CSV, text and Markdown files, up to 3 MB each and 100 MB per workspace. You can also import one web page or up to 25 pages from a website.

Who can see my workspace?

Your personal workspaces are private to you. An administrator can share a workspace with the whole organisation, and then others can use it but not change it.

What is the difference between a workspace and attaching a file to chat?

A file attached in chat is for that one chat. A workspace keeps your documents so you can ask about them in any new chat, again and again, and share them with your team.
